Finance Integrations
BillaBear integrates with your finance software, keeping your accounting system up to date with all financial activities happening within BillaBear.
What Data Is Synchronized
The following data is automatically synced to your finance software:
- Customer Data - Contact information and billing details
- Payment Data - All successful payments processed
- Credit Data - Credits applied to customer accounts
- Refund Data - All refunds issued
- Invoices - Complete invoice details
For customers who pay by invoice, BillaBear will automatically check your finance software to see if invoices have been paid, eliminating the need for manual verification.
Setting Up Finance Integrations
Accessing Finance Integrations
- Log in to your BillaBear admin account
- Navigate to the main menu
- Select "Integrations"
- Choose "Accounting"
Available Integrations
Xero
Xero is a cloud-based accounting software platform for small and medium-sized businesses.
Setting Up Xero Integration
- From the Accounting Integrations page, select "Xero" from the dropdown menu
- Click "Connect with Xero"
- You will be redirected to Xero to authorize the connection
- Log in to your Xero account if prompted
- Grant BillaBear permission to access your Xero data
- You will be redirected back to BillaBear once authorization is complete
- Verify that the connection status shows as "Connected"
EasyBill
EasyBill is an online invoicing and accounting software particularly popular in European markets.
Setting Up EasyBill Integration
- From the Accounting Integrations page, select "EasyBill" from the dropdown menu
- You will need to provide your EasyBill API Key
Getting Your EasyBill API Key
- Log in to your EasyBill account
- Click on your profile image in the top-right corner
- Select "Profile and Settings" (or "Profil und Einstellungen" if using German)
- Scroll down to the "API Key" section
- If you don't have an API key yet, click "Generate API Key"
- Copy the API key
- Return to BillaBear and paste the key into the API Key field
- Click "Save" to establish the connection
Verifying Your Integration
After setting up your finance integration:
- The connection status should show as "Connected"
- You can test the integration by creating a test customer or invoice
- Check your finance software to confirm the data has been synchronized
Troubleshooting
If you encounter issues with your finance integration:
- Verify that your API credentials are correct
- Ensure your finance software account has the necessary permissions
- Check that your finance software is accessible and online
- For OAuth connections (like Xero), you may need to reauthorize if the connection expires
